Leads — Never miss a lead again

Every lead your division received this period — including the ones that went directly to individual reps through Connections — in one chronological feed. Now with read receipts, so you know whether each lead email has actually been seen.

Who can access this? Admins, Managers, and Portal Viewers. Sales Reps use the Builder Portal and don’t have Sales Portal access. Learn more about user roles →

What the Lead Panel Shows

Leads is a list of every lead your division received during the selected time period — exactly what the helper text on the panel says: “Every lead your division received this period.” Newest leads appear at the top.

Each lead shows you the agent’s name and contact info, the home details (if applicable), who received the lead — your default contact or a specific rep — what action triggered the lead, and the date and time it happened.

Click any lead to open a detail view with the agent’s full contact info and, when applicable, the home address and community.

Why Connection-Based Leads Matter

Here’s the key reason the Recent Leads panel exists.

When an agent connects with one of your reps on New Home Buddy, that rep — not your default online sales contact — receives the lead notification. That’s by design. Agents want to work with specific reps they trust, and our Connection feature routes leads accordingly.

The catch: before the Sales Portal, division leadership had no easy way to see these leads. They happened in rep-to-rep email threads, out of view of the broader team.

The Leads panel changes that. Every lead — whether it went to your default contact or to a specific rep through a Connection — shows up in one unified feed. Full visibility across your entire division, without asking anyone for updates.

Types of Leads You’ll See

The Leads panel captures every meaningful buyer or agent action on your division’s homes. They fall into two groups based on who receives the lead notification:

📥

To your default contact

When an agent doesn’t have a Connected rep

  • Buyer Needs Requests
  • Agent clicked on default contact info
  • Agent Tour Requests (inventory homes only)
  • Agent Requested More Information (plans only)

📅

To individual reps

Through Connections or direct buyer activity

  • Buyer Needs Requests
  • Agent clicked on rep’s contact info
  • Agent Tour Requests (inventory homes only)
  • Agent’s Client Requested a Tour (inventory only)
  • Agent Requested More Information (plans only)
  • Agent’s Client Requested More Info (plans only)
  • Agent has a client that favorited homes
  • New lead signed up on a rep’s saved search

How to Filter by Division and Time Period

The Recent Leads panel updates when you change either of these two Dashboard controls:

  • Division selector — If you manage multiple divisions, switch between them at the top of the Dashboard. Each division shows its own lead feed.
  • Time period buttons — Choose from Last 7 Days, Last 30 Days (default), Last 60 Days, or Last 90 Days.

For a deeper look at how filters work across the whole Dashboard, see the Dashboard Overview.

Read Receipts: Sent, Opened, Clicked

Every lead generates a notification email — to the connected rep, or to your builder’s default contact. Until now, leadership had no way of knowing whether that email was ever seen. Read receipts fix that.

Each lead in the feed carries a status pill showing exactly where its notification email stands:

Sent

The notification email was delivered, but hasn't been opened yet. This is the default state for every new lead.

Opened

The recipient opened the notification email. The lead has been seen.

Clicked

The recipient clicked a link inside the notification email — the strongest signal the lead got attention.

The value is simple: if a strong lead is still sitting at Sent two days later, you know before the agent relationship goes cold — and a quick nudge to the rep keeps it warm.

What read receipts track: the lead notification email — opens and clicks only. An “Opened” pill means the email was seen, not that the lead was called or followed up on. Use it as a visibility signal, then confirm the follow-up with your rep.

Tips for Getting the Most Out of Leads

Recent Leads is the one Dashboard panel that rewards a daily habit. Here’s how to make it work for you and your team:

DAILY

Scan the read-receipt pills

Strong leads still sitting at “Sent” after a day or two deserve a nudge. Thirty seconds of pill-scanning keeps agent relationships from going cold.

WEEKLY

Look for rep patterns

If a particular rep is consistently receiving strong leads through their Connections, they’re doing the relationship work. Recognize that publicly — it motivates the rest of the team.

WEEKLY

Flag leads that need follow-up

If a lead came in three days ago and you know the rep is traveling, a quick nudge to a teammate can keep the agent relationship warm.

PRO TIP

Pair it with Builder Rep Performance

The Builder Rep Performance panel shows who’s generating activity. Recent Leads shows you what that activity is producing in real time. Together, they tell the full story.
